About Knowspan
Operational Continuity Is the Product.

Why we built MindVault
Operational Knowledge Shouldn’t Live in One Person’s Head.
This problem came from the inside.
Working in Customer Success at a technology company, we watched a business grow faster than its internal systems. The information existed — scattered across documents, recordings, inboxes, and people’s heads. Finding the right answer, knowing which version was current, and understanding how the work was actually supposed to get done was harder than it should have been.
We evaluated tools that claimed to solve this. The pattern was always the same: a dashboard with an empty knowledge base, and the hardest part — turning what employees actually know into something governed and trustworthy — left entirely to the customer.
So that’s what MindVault is built to do.
MindVault helps capture how work actually happens, organizes that knowledge around real processes and real owners, gives employees grounded answers with sources attached, and gives leaders visibility into where the business still depends on one key person.
The product is a business that doesn’t depend on one person knowing what happens next.
Philosophy
How We Think About This
Grounded, not generic
Guidance is grounded in your organization's own knowledge, with sources shown — not general internet answers dressed up as your policy.
Governed, or it isn't trusted
Every piece of knowledge carries an owner, a verification status, and a review cadence. Unverified content is labeled, not hidden.
Continuity over documentation for its own sake
The goal isn't a pile of documents — it's a business that can run without any one person holding it together.
Honest about what's known and what isn't
MindVault is designed to avoid unsupported certainty. Coverage and dependency are shown as they are, not smoothed over.
Start small, expand deliberately
MindVault is designed to create value from your 3–5 highest-risk workflows first, not require everything documented on day one.
Our mission: make the next qualified employee able to do the work correctly on day one.

Start with the workflows your business could least afford to lose.
