Everything Behind Operational Continuity, in One Platform.

A governed Knowledge Library, operational processes with real owners, an AI Assistant that cites its sources, and a continuity dashboard that shows leaders where the business is exposed.

Product loop

How the Pieces Connect

Capture, structure, govern, ask, detect gaps, improve, and monitor — a continuous loop, not a one-time project.

1

Capture

Bring in SOPs, policies, recordings, transcripts, checklists, and internal instructions.

2

Structure

Organize knowledge around operational processes, not just folders and documents.

3

Govern

Assign owners, SMEs, backup SMEs, criticality, scope, review cadence, and verification.

4

Ask

Let employees ask operational questions in natural language.

5

Detect Gaps

Identify questions existing knowledge cannot adequately answer.

6

Improve

Let SMEs review, verify, and update knowledge.

7

Monitor Continuity

Give leaders visibility into coverage, freshness, governance, and dependency.

Knowledge governance

Keep Operational Knowledge Trustworthy.

MindVault manages knowledge as a living operational system rather than a static document archive.

Knowledge Library

A central, organized home for SOPs, policies, recordings, and reference material.

Source classification

Knowledge is classified by type and status so employees know what they're looking at.

Firm-wide and client-specific scope

Procedures are scoped to the right audience — everyone, or one client.

Process linkage

Knowledge is connected to the operational process it actually supports.

Verification status

Every piece of knowledge shows whether it has been formally verified.

Review cadence

Knowledge is assigned a review schedule so it doesn't go stale silently.

Version history

Changes are tracked over time instead of overwriting what came before.

Owners and SMEs

Every process can be tied to the person accountable and the person who knows it best.

Backup coverage where needed

Secondary expertise is identified for processes where it matters most.

Knowledge-gap tracking

Questions the library can't yet answer are captured, not lost.

Unverified does not necessarily mean incorrect. It means the organization has not yet formally confirmed the knowledge through its governance process.

Process governance

Connect Knowledge to the People Responsible for the Process.

Every operational process can carry a clear profile of who is accountable and how current it is.

Owner

Accountable for the process.

SME

Understands how the process actually works.

Backup SME

Provides secondary expertise when needed.

MindVault should not assume that every critical process automatically requires a backup. It should surface actual dependency based on known process relationships.

AI Assistant

Give Employees Answers They Can Verify.

Employees can ask MindVault operational questions in plain language and receive guidance grounded in the organization’s own knowledge.

How do I submit this client's invoice?Who needs to approve this? What do I do if the vendor doesn't provide a W-9?What are the exceptions to this workflow?Who should I escalate this to?What is the process for onboarding a new client?
MindVault answer

Submit the invoice through the AP portal once the engagement lead has approved the scope. Attach the signed statement of work and route it for approval before the client's monthly billing cutoff.

Steps

  1. 1Confirm the engagement lead has approved final scope and hours.
  2. 2Attach the signed statement of work and supporting time entries.
  3. 3Submit through the AP portal under the client's billing code.
  4. 4Route to the assigned approver before the monthly cutoff.

Prerequisites

  • • Signed statement of work on file
  • • Time entries reconciled for the billing period

Approval required

  • • Engagement lead (scope)
  • • Finance approver (final invoice)

Exceptions

  • • Retainer clients bill on a fixed schedule and skip the scope-approval step.

Escalation guidance

If the client disputes an amount, escalate to the Billing Manager rather than resubmitting.

Turn Unanswered Questions Into Operational Improvements.

When employees repeatedly ask questions that existing documentation cannot adequately answer, MindVault helps turn those questions into a structured improvement backlog.

Implementation

Start With the Workflows You Cannot Afford to Lose.

MindVault is designed to create value without requiring a company to document everything at once.

1

Choose 3–5 critical workflows

Start with the processes that would hurt the most if the right person were unavailable.

2

Organize the relevant knowledge and people

Bring in the SOPs, recordings, and policies behind those workflows, and assign owners and SMEs.

3

Establish governance and monitor continuity

Set review cadences, verify knowledge, and watch coverage and dependency on the dashboard.

FAQ

Questions We Hear Most

01 —How does MindVault ground its answers?

MindVault is designed to ground answers in your organization's own knowledge — SOPs, policies, recordings, and documented process detail — and to show the sources supporting its guidance. It is not designed to search the open internet or invent policy that isn't in your knowledge base.

02 —What happens when MindVault doesn't have a good answer?

When existing knowledge can't adequately answer a question, that question is captured as a knowledge gap rather than answered with a guess. Gaps route to the appropriate SME for review so the guidance can be improved over time.

03 —Does 'verified' mean the answer is guaranteed accurate?

No. Verified means your organization's governance process has formally confirmed that piece of knowledge. Unverified knowledge is shown as unverified — not hidden and not treated as wrong — so SMEs and administrators remain responsible for validating guidance that matters.

04 —Can we keep firm-wide and client-specific knowledge separate?

Yes. Knowledge can be scoped firm-wide or to a specific client, so employees see the procedure that applies to the client or context they're actually working in.

05 —What does the Operational Continuity dashboard actually measure?

It measures coverage, verification status, ownership, and dependency across your operational processes, computed from your governed knowledge and process data. It is not a predictive forecast — it reflects current state and trend, not a prediction of the future.

06 —How do we get started?

Most teams start with the 3–5 workflows they could least afford to lose, organize the relevant knowledge and people around them, and expand from there using the guided setup checklist. You don't need everything documented on day one.

07 —What about integrations, document types, and security?

We'll walk through current integrations, supported source formats, and security details specific to your environment during a demo, rather than list capabilities here that may not apply to your setup.
